- HALF PAGE AD: landscape style 8.5" wide and 5.5" high. Total image area should not exceed 4.5" x 7.5"
- FULL PAGE AD: portrait style 8.5" wide and 11" high. Total image area should not exceed 7.5" x 10"
- all files should be sent with no less than 150 dpi at the required size
- no mark-ups or bleeds
- all files should be sent as a vectored file to ensure the file is clear and not blurry

Exhibitor Prospectus

Booth Rental

The cost for a booth for the 2026 trade show is $4000.00 per booth*. Booth space is allocated by the CAE, but we do not assign booth numbers as we are a smaller trade show to maximize exposure.

Booth Rentals Include:

  • Draped table and two chairs
  • Garbage and recycling
  • Standard electrical outlet
  • Security (venue permitting)
  • Two representatives’ attendance (including breakfasts/coffee breaks/Exhibitor Luncheon/President’s Reception and Dinner)
  • Additional representatives can attend for a fee of $750.00 (includes all above)

Booth Rental Does Not Include:

  • Set-up or dismantling of booth
  • Cleaning of booth
  • Shipping/holding costs by the hotel
  • Color ad in the meeting program – ½ page $250.00/full page $500.00
  • Additional AV items - can be booked directly with the hotel AV company

Exhibitor Guidelines and Conduct

  • Booths are to be occupied by ONE brand only, even if it is the same umbrella company. Maximum two representative per booth. If you wish to have more than two people representing your one brand, there is a charge of $750. 00 per person.
  • No sharing or subletting is allowed. Booth representatives must be employees of the brand purchasing the booth – subletting space to other brand/product representatives is not permitted.
  • The exhibit trade show hours will be:
    • Thursday September 24th 8:00am to 4:00pm
    • Friday September 25th 8:00am to 3:00pm

There will be no trade show the Saturday of this meeting.

Exhibitor Ingress and Egress

Exhibitors will have access to set-up in the trade show area on Wednesday September 23rd, 2026, at 2:00pm.

Egress of the trade show area begins on Friday September 25th, 2026 at 3:00pm.

Force Majur

Neither party (the Canadian Academy of Endodontics nor exhibiting company) shall be liable to the other for the failure to perform any obligations set forth in this contract if such failure is occasioned by or results from disaster, a strike/lockout, a civil commotion or disturbance, an act of god (ie: COVID-19 pandemic), a supervening illegal or any act/cause which is beyond reasonable control of the parties.

Shipping of Materials

All materials can be shipped directly to the hotel. Boxes should be clearly marked using the provided shipping label, with your company name and reps name clearly listed. Any shipping fee or costs to hold/deliver items at the hotel will be billed directly to the company.

HOTEL ACCOMMODATIONS

We have two hotel blocks available for this meeting. One at the event hotel, The Pan Pacific Vancouver, and another down the street at the Delta Downtown Suites. Once you have registered your company online, a code will be provided for you to book at one of the hotels.
